Online Room Booking Systems

Overview

UBC staff, faculty and students can book space on campus to support operations and student learning. UBC IT Okanagan develops and maintains a small number of online room booking websites used by groups at the Okanagan campus called the Meeting Room Booking System (MRBS).

  • This service is available 24 hours a day, 7 days a week except during scheduled and unscheduled maintenance.
  • Users can book, change and cancel space bookings online. 

Requirements & Eligibility

  • This services is available to staff, faculty, and researchers.
  • Users must have an active CWL to authenticate and book a space.

Costs

The creation and maintenance of an online booking service is centrally funded and provided at no cost. 

Getting Started

To request an online room booking site, please submit a Request Access to IT Service ticket in the UBC Self-Service Portal.

Service Responsibilities

The following table clarifies the responsibilities of UBC IT Okanagan and those of the client.

Maintenance of server infrastructure 
Software and security updates 
Resource monitoring and allocation to ensure optimum server performance 
Authority to disable the booking system if compromised 
Installing, renewing TLS / SSL certificates 
Enabling administrative access, as requested by instance owner 
Management of areas, rooms, schedule setup and content 
Administrator of booking schedules and conflicts 
First point of contact for end-user support 
Create, publish, and manage room booking policies and/or booking guidelines (i.e. Room Policies) 
Create and maintain front-facing information, content updates and content management (i.e. Book Study Space) 
Immediately report to UBC IT Okanagan if suspect their booking system has been compromised
