How do I log into or out of a Hot Desk phone?

Follow these instructions to log into the telephone system from any phone designated as a Hot Desk telephone.  

Requirements:

  • Phone must first be set-up as a Hot Desk telephone by UBC IT Voice Services staff and user must have a Hot Desk number and PIN assigned to them.

Instructions:

Hot Desk telephone service allows users to log into the telephone system from any phone designated as a Hot Desk telephone. When you log in at the using your assigned Hot Desk User Extension Number, the phone assumes all your speed dials, features keys, call forwarding setup, and line appearances. Any changes you make to the phone while you are logged in (e.g. adding a speed dial) are saved to your personal profile.  

Logging in activates your profile on any phone that supports Hot Desk telephone service. When you log in as a hot desk user, Call History data is updated for you. You do not see any call logs for the phones registered DN (number that appears when all users are logged out); you only see your history data.

When you log out, the registered DNs history data is displayed. To access your voice mail when you are logged in as a Hot desk user, you must log in to your voice mail.

Logging In

To log into a Hot Desk telephone, the phone must be idle.  Do not pick-up the handset.

  1. Press the Hot Desk key on the phone.
  2. Press the Login key.
  3. Using the phone keys, enter your Extension Number and then press OK.
  4. Enter your assigned PIN number and press OK.

Note that if you change your Voicemail passcode it will change your Hotdesk PIN to match.

Hot Desk locals will display a "Hot Desk" key on the display if the set is not logged in.  If already logged in, there will be a "Logout" key.

Logging Out

To log out of Hot Desk telephone, the phone must be idle.  Do not pick-up the handset.

  1. Press the Logout  key twice

Note: Your profile can only be active on one phone at a time. If you log in from another phone without logging out from the first one, the system will automatically deactivate your profile on the first phone.
